
Job description
We are seeking an experienced and highly organized Senior Office Manager & Executive Assistant to support our leadership team and oversee daily office operations. This role blends executive-level administrative support with office management responsibilities, ensuring the smooth running of our Madison office while enabling our leaders and teams to perform at their best.
The ideal candidate thrives in a dynamic environment, demonstrates discretion and professionalism, and takes ownership of both strategic priorities and everyday details.
Key Responsibilities
Office Management & Facilities
Oversee daily office operations, including mail, deliveries, access systems (fobs), and general tidiness of common areas, kitchens, and meeting rooms.
Serve as the main point of contact for landlord communications, maintenance, and external vendors.
Manage office supplies, snacks, and equipment orders.
Coordinate facility work orders and ensure the workspace remains organized and welcoming.
Executive Support
Provide high-level administrative support to executive team members, including calendar management, meeting coordination, and travel arrangements.
Prepare presentations and reports on behalf of leadership.
Travel & Event Coordination
Plan and manage travel logistics for employees and executives using internal travel platforms.
Organize company events and meetings and team offsites.
Business & Administrative Support
Support project setup, insurance documentation, and vendor management.
Manage phone systems and administrative inboxes.
Provide assistance with business forms, vendor portals, and RFP requests.
Maintain accurate records, logs, and reporting related to operational activities.
Job requirements
5+ years of experience in office management and/or executive assistant roles.
Proven ability to support senior leaders with confidentiality and sound judgment.
Exceptional organizational and communication skills.
Strong attention to detail and the ability to manage multiple priorities independently.
Proficiency with Microsoft Office Suite; experience with Egencia, Dynamics, or RingCentral a plus.
