Job description

We are seeking a highly organized and proactive Administrative Coordinator to join our Cylomedia team. This is role that will support across many areas including: office operations, facilities, travel & event coordination, and sales assistance.

The ideal candidate will be detail-oriented, resourceful, and comfortable managing multiple priorities while ensuring smooth day-to-day operations.

This position is full-time and based in our Middleton, WI office.

 

Key Responsibilities:

General Administration

  • Manage insurance requests and certificates of insurance (COI).

  • Oversee main phone line system and direct inquiries appropriately.

  • Assist with the onboarding and offboarding processes of teammates.

  • Order all office supplies and manage onsite inventory of these items.

Onsite Facilities Management

  • Maintain tidiness and readiness of common areas, kitchens, and meeting rooms.

  • Stock and organize office snacks and beverages.

  • Serve as the main point of contact for landlord communications.

  • Coordinate work orders with landlord and external vendors and manage office fob access system.

Travel & Calendar Management and Event Planning

  • Coordinate travel arrangements and provide logistical support for leadership teammates and key meetings.

  • Assist in planning and coordinating internal team events and meetings.

  • Provide executive support for US Executive team including calendar management and travel planning.

Sales Assistance

  • Manage request forms, setup, agendas, and logs for key sales deal review process.

  • Support setup of vendor portals and completion of business forms for RFPs.

  • Assist with monitoring administration email accounts.

Job requirements

  • 2+ years of experience in office administration, executive support, or related role.

  • Strong organizational and multitasking skills with attention to detail.

  • Excellent communication skills, both written and verbal.

  • Ability to work independently and manage competing priorities.

  • Proficiency with Microsoft Office Suite
